Every lead and client can have one assigned planner. Assignments control what your team members can see and who gets notified about activity on that record.
Assigning from the client profile
Open the client's Details tab and find the Assigned Planner field. Click to select from your active team members. The change saves immediately.
When you reassign a client to a new planner:
- The newly assigned planner receives an email notification
- The activity log records the change and who made it
- The record appears in the new planner's client list
Who can see what

If a planner is removed from a client, that client disappears from their list. Owners and admins always have full visibility.
Assigning at lead creation
When you add a lead manually, you can assign a planner in the Add Lead form. If you skip it, the record is unassigned and only visible to owners and admins until someone is assigned.
Leads that come in through the website intake form are unassigned by default.
Best practices
- Assign leads early. Planners can't act on records they can't see.
- Reassign promptly if a planner's workload changes or someone leaves the team.
- If a planner is going on leave, reassign their active clients to make sure nothing falls through.
Workload visibility
Owners and admins can see how many active weddings are assigned to each planner on the admin dashboard. Use this when deciding who to assign a new client to.
